Description
The Office of Student Life is focused on building a strong foundation to ensure every student's Indiana University (IU) experience is positive, safe, healthy, and meaningful. The Office of Student Life staff and multiple departments aim to help students navigate their time at IU, providing the tools they need to be successful in school and after graduation. Students are our priority, and their health, safety, and overall well-being are our core mission.The Student Advocates Office (SAO) assists students in resolving academic, financial, and conduct problems. SAO provides a space for all students to be listened to nonjudgmentally, provides unconditional support, and helps students to resolve problems so that they can successfully maintain progress towards their degree.
Job Summary
This position serves as the key administrative and front-line contact for the Student Advocates Office, delivering efficient, accurate, and confidential support to students, parents, faculty, and university staff. This includes duties related to student support initiatives designed to offer support for students in crisis, facing adversity or challenges.
Department-Specific Responsibilities
- Manages client intake and communication, which includes providing detailed information on university policies and services.
- Provides intake services and communicate information about office resources and university policies to all who reach out for assistance.
- Schedules appointments and coordinate office operations.
- Provides administrative support to office staff, volunteer advocates, interns, graduate students, and administrative staff.
- Manages office email communications; coordinate client traffic to ensure timely and effective responses; and refers student inquiries and cases to the appropriate staff members or campus offices as needed.
- Facilitates the Withdrawal from All Subjects process and support respondent services with intake and case management tasks.
- Assists advocates with routine inquiries, including basic computing issues and navigating the Student Information System (SIS) to access student records.
- Maintains accurate and up-to-date student case records, ensuring compliance with FERPA and university confidentiality policies.
- Organizes and manages physical and electronic case files, following established retention and destruction guidelines for sensitive documents (e.g., medical records).
- Updates and manages the office resource manual in both electronic and hard copy formats.
- Compiles and analyzes data for annual reports, office assessments, and other reporting requirements.
- Supports special projects and perform additional duties as assigned.
- Assists with administrative needs related to the daily operations, planning, and implementation of student support initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
- Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
- Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains student records and databases.
- Schedules student appointments and provides directions, support, and information to students and other visitors to the department.
- Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
- May assist with ordering or creation of promotional materials for student groups or departmental needs.
- May provide guidance to other Student Support Coordinators.

EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
- College degree in related field

- 2 years in office environment, higher education, or related field

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
