TITLE: International Affairs Coordinator
GRADE: EXEMPT
DEPARTMENT: International Affairs
REPORTS TO: Managing Director, International Affairs
POSITION SUMMARY:
Provide regular assistance and support to the International Affairs Department with routine responsibilities including research and outreach to promote the overall U.S. airline industry and A4A member carriers. This position is responsible for handling administrative and operational support for the Senior Vice President, International Affairs and the wider International Affairs Department (currently two individuals).
The successful candidate must be able to juggle a wide range of duties in a fast-paced environment; be a strategic thinker; have strong writing and editing skills; anticipate future needs; be responsive; know how to prioritize multiple competing deadlines; consistently display a professional demeanor; exercise sharp judgement; maintain confidentiality at all times; and enjoy working with a range of people.
DUTIES & RESPONSIBILITIES:
* Provide administrative support to the Senior Vice President and wider department by maintaining SVP and departmental schedules in Outlook and making travel arrangements. Assists with email inbox management and monitoring.
* Enter and record staff expense reports, ticket requests and travel authorizations; process departmental invoices.
* Schedule, plan, organize and participate in specified meetings and department events; take notes and ensure action items are completed in a timely manner.
* Research and prepare briefings for senior leaders and International Affairs team members.
* Develop knowledge of the association's member carriers and issues.
* Create and disseminate mass emails and other approved communications, often on tight deadlines.
* Maintain up-to-date contact databases and proficient knowledge in interfacing with database
Requirements
QUALIFICATIONS:
* Must be a highly motivated individual who is a strategic thinker, organized, detail oriented and desires to work in a dynamic, quickly moving environment. Must have a solid ability to multi-task.
* Ability to initiate projects and work independently while also being a team player who enjoys working with others.
* Strong written and communication skills.
* Drafting, proofing and editing skills are required.
* Strong Microsoft Office skills, including Outlook. Ability to learn a variety of software programs.
* Outstanding interpersonal skills and a professional telephone manner with strong command of the English language, both oral and written.
WORK ENVIRONMENT:
If approved by the department supervisor, A4A employees have the option to work from home on Fridays. All employees are expected to work in the office Monday through Thursday.
SALARY INFORMATION:
The annual salary range for this position is $60,000 to $80,000. Typically, new hires are brought into the organization at a salary between the minimum and midpoint for the role, depending on experience, qualifications and internal equity.
