Description
Randolph-Macon College seeks a strategic, collaborative, and data-informed professional to serve as Executive Director of Advancement Services. Reporting to the Vice President of College Advancement, this position provides leadership for the operational, data, and technology functions that support fundraising, alumni relations, and engagement efforts across the College.
The Executive Director oversees Advancement systems, reporting, gift administration, prospect research, and data integrity initiatives to ensure efficient operations, informed decision-making, and strong stewardship of donor and alumni information. This role supervises staff responsible for gift processing, prospect research and management, and database administration, while partnering closely with colleagues in Finance, Information Technology, and other campus departments.
Key Responsibilities
Leadership & Operations
Lead and manage Advancement Services, driving efficiency and continuous improvement across all functions.
Develop and implement strategies that support annual giving, major gifts, planned giving, and alumni engagement.
Supervise and mentor staff, fostering a high-performing and collaborative team environment.
Data & Analytics
Ensure the accuracy, integrity, and security of donor and alumni data.
Develop reporting and dashboards to track fundraising performance and inform strategy.
Translate data into actionable insights for leadership and frontline staff.
Manage data quality processes and proactively address inconsistencies.
Systems & Technology
Oversee Advancement systems, including CRM (Raiser’s Edge NXT) and related platforms.
Partner with IT to support integrations, enhancements, and system performance.
Support online giving, event management tools, and user training.
Document processes and maintain user guides and SOPs.
Gift Administration & Compliance
Oversee gift processing to ensure timely, accurate recording and acknowledgment of donations.
Ensure compliance with IRS, CASE, FASB/GASB, and institutional policies.
Reconcile Advancement data with financial records in partnership with the Business Office.
Maintain and enforce gift policies, procedures, and data governance standards.
Prospect Research & Management
Lead prospect research and portfolio management efforts to identify and prioritize high-potential donors.
Oversee wealth screening and data-driven prospect strategies.
Support fundraisers with tools and metrics to manage and evaluate portfolios.
Collaboration & Communication
Serve as a key liaison with Finance, IT, and other campus partners.
Coordinate system enhancements, reporting needs, and data-related initiatives across departments.
Requirements
*Bachelor’s degree required; Master’s preferred.
*No less than 5 years of progressively responsible experience in advancement services, fundraising operations, or a related field.
*Experience with CRM systems (Blackbaud Raiser’s Edge NXT strongly preferred) and reporting tools.
*Demonstrated leadership and project management experience.
*Strong analytical, organizational, and communication skills.
*Knowledge of fundraising best practices, data governance, and compliance standards.
*Ability to manage multiple priorities with attention to detail and deadlines.
*Willingness to work occasional evenings and weekends.
