- Finance & Operations Manager
Description
Tin Fulton Walker & Owen, PLLC is seeking an experienced Finance & Operations Manager to provide financial leadership, accounting oversight, and department management for the firm.
This is a hands-on leadership role for an experienced accounting and finance professional who enjoys working closely with firm leadership, understands the financial side of a professional-services organization, and can bring structure, accuracy, and forward-thinking financial management to a growing firm.
The Finance & Operations Manager will work closely with the firm's management committee and serve as the firm's primary financial leader, while also providing leadership and development for the Finance & Operations team.
As part of the firm's organizational structure, this position will focus primarily on financial leadership and accounting oversight, while partnering with the Office & Operations Coordinator and Building & Facilities Manager to ensure the firm's broader administrative and operational needs are appropriately supported.
What You'll Do
Financial Leadership & Accounting
- Provide leadership and oversight for the firm's day-to-day financial and accounting functions.
- Manage cash-basis accounting and maintain accurate financial records.
- Oversee the general ledger and account reconciliation process.
- Perform and review bank reconciliations.
- Oversee trust accounting and related reconciliations.
- Manage banking relationships and cash management activities.
- Monitor financial activity and identify unusual or unexpected activity.
- Prepare and analyze recurring financial reports for firm leadership.
- Provide financial information and analysis to support management decision-making.
- Support month-end and year-end financial procedures.
- Maintain appropriate supporting schedules and financial documentation.
- Coordinate with the firm's CPA and other outside financial professionals.
Budgeting & Financial Planning
- Assist firm leadership with budgeting and financial planning.
- Develop and maintain financial forecasts and planning tools.
- Monitor actual results against expectations and identify significant variances.
- Provide financial analysis to help leadership understand the firm's financial position and trends.
- Identify opportunities to improve financial performance, efficiency, and visibility.
Payroll & Benefits Oversight
- Oversee the firm's payroll process and payroll calendar.
- Review payroll information for accuracy and coordinate necessary changes.
- Provide oversight of employee benefit programs, including medical, disability, and 401(k) programs.
- Coordinate with payroll and benefits providers.
- Ensure recurring payroll and benefits responsibilities are completed accurately and timely.
- Provide financial and administrative oversight while working with the Office & Operations Coordinator on day-to-day benefits administration.
Internal Controls & Compliance
- Maintain appropriate financial controls and approval procedures.
- Ensure financial transactions are properly documented and reconciled.
- Monitor financial processes for accuracy and consistency.
- Identify control weaknesses or areas of financial risk and recommend improvements.
- Maintain appropriate confidentiality of financial, employee, client, and firm information.
- Support compliance with applicable financial and administrative requirements.
Team Leadership & Development
- Provide leadership and direction for the Finance & Operations function.
- Directly supervise and develop the firm's Office & Operations Coordinator.
- Establish priorities and clarify responsibilities within the department.
- Provide coaching, feedback, and ongoing support.
- Identify opportunities to develop employee capabilities and expand responsibility over time.
- Promote cross-training and backup coverage for critical financial processes.
- Work collaboratively with the Building & Facilities Manager and Office & Operations Coordinator to maintain clear ownership across the department.
Process Improvement & Business Continuity
- Develop and maintain accounting procedures, SOPs, and checklists.
- Identify opportunities to improve financial processes and efficiency.
- Reduce reliance on undocumented institutional knowledge.
- Establish and maintain appropriate backup coverage for critical financial responsibilities.
- Strengthen continuity through documentation and cross-training.
- Evaluate financial systems and processes and recommend improvements as the firm grows.
This position is a hybrid position and allows for some remote work; however, the ability to work remotely will not begin until approximately 9 months' tenure when you have been fully trained and are comfortable in the position, in the discretion of the firm's management committee. Once cleared for remote work, you may work from home 1-2 days/week.
Requirements
Required:
- 5+ years of progressively responsible accounting or finance experience
- Strong understanding of general accounting principles and financial processes
- Experience with general ledger accounting and account reconciliations
- Experience preparing and analyzing financial reports
- Experience with cash management and banking
- Strong Excel and accounting-system skills
- Excellent organizational and time-management skills
- Exceptional attention to detail
- Ability to work independently while managing multiple priorities
- Strong analytical and problem-solving skills
- Excellent written and verbal communication skills
- Ability to maintain strict confidentiality
- Demonstrated ability to take ownership of financial processes and follow issues through to resolution
Preferred:
- Experience in a law firm or other professional-services environment
- Experience with trust accounting
- Experience with QuickBooks or similar accounting software
- Experience with budgeting and financial planning
- Experience coordinating with a CPA or outside accounting firm
- Experience with payroll and employee benefits oversight
- Previous supervisory or mentoring experience
- Experience developing SOPs, internal controls, and process documentation
- Experience working in a small organization where the finance function requires both strategic thinking and hands-on execution
- A bachelor's degree in accounting, finance, business, or a related field is preferred but not required for candidates with equivalent relevant experience
CPA certification is not required.
